Hire Terms & Conditions

1. Who we are
Equipment hire is provided by Advanced IT Services, trading as Void Acoustic Hire ("we", "us"). We are an independent hire company; Void Acoustics® is a trademark of Void Acoustics Research Ltd and we are not the manufacturer. Contact: 0115 9170 197.
2. Quotes, booking & payment
- All prices are quoted exclusive of VAT. Quotes are valid for 14 days and subject to availability at the time of booking.
- A booking is confirmed on payment of a 25% booking fee (or full payment for hires under £250). The balance is due before or on delivery/collection.
- Weekend hire (Friday afternoon to Monday morning) is charged at approximately 1.5× the day rate; weekly hire at approximately 3× the day rate.
3. Dry hire requirements
- Dry hire (equipment without our crew) requires two forms of identification: photographic ID (passport or driving licence) and proof of address dated within 3 months.
- A refundable security deposit (from £250, set per hire) is required before release of equipment and is returned on inspection after return.
- We do not dry hire to persons under 21.
- The hirer is responsible for the equipment from handover until return, including transport, storage and use, and should hold appropriate insurance.
4. Damage, loss & waiver
- The hirer is liable for loss, theft or damage to hired equipment at full replacement or repair cost, less any damage waiver held.
- An optional damage waiver of 12.5% of the net hire charge reduces liability for accidental damage (an excess applies, stated on the quote). The waiver does not cover loss, theft, water damage to non-rated equipment, or wilful misuse.
5. Delivery, rigging & crewed hire
- Delivery is free within 20 miles of our Nottingham base on hires over £500; otherwise charged per mile. Rig/derig labour is quoted per job.
- Crewed hire includes delivery, rigging, operation by our engineers and derig. Venue access, power and a safe working environment are the hirer's responsibility.
- Crewed estimates shown on the website are indicative; final crew size and cost are confirmed on the written quote.

7. Electrical safety
All equipment is PAT tested and supplied with test records on request. Equipment must only be connected to suitable supplies; generator supplies must be discussed at booking.
8. Cancellation
- More than 14 days before the hire: booking fee refunded less any costs already incurred.
- 14 days or fewer: booking fee retained.
- 48 hours or fewer, or non-collection: full hire charge payable.
- We may cancel where equipment becomes unavailable through damage by a prior hirer or force majeure; our liability is limited to a full refund.
9. Liability
Nothing in these terms limits liability for death or personal injury caused by our negligence. Otherwise our total liability in connection with a hire is limited to the value of that hire. We are not liable for indirect or consequential loss, including event cancellation costs.
10. General
The hirer is responsible for any licences, permissions and noise-limit compliance at the venue. These terms are governed by the law of England and Wales.
